Practice Operations Management oversees the business and administrative operations of a medical practice.
The Healthcare Practice Operations Manager is responsible for the overall direction and oversight of the Business Operations, Outreach and Patient Financial Services at Cancer Care of North Florida-Radiation Oncology. This includes registration, scheduling, pre-registration/pre-authorization, insurance verification, point of service collections, records, cashiering, and financial counseling. Clinical healthcare background is a plus.
Responsibilities:
Operations
Manage daily activities using key performance metrics to ensure operating results are achieved.
Evaluates general and specific business conditions as they relate to operational issues, and keeps the Senior Management team fully advised on these matters.
Responsible for quality improvement, program evaluation and fiscal management of the facility.
Responsible for monitoring, analyzing, assessing and communicating organization progress.
Monitoring daily office operations and ensuring a positive work environment
Responsible for maintaining clinic volume and efficiency
Assist patients with non-clinical needs
Assist in creating, maintaining and achieving annual budget
Participate in operational meetings across organizations
Plans, organizes, supervises, monitors and improves the day-to-day, and short-term activities of the business operations collaboratively with the Clinical Lead for the Center
Lead the patient concierge and financial team, to include orienting and training, as well as coaching, counseling and supervision to provide support to patients, their families and other areas of the center.
Coordinate insurance verification information amongst onsite and offsite staff to ensure correct balance is obtained, and/or estimate to be given.
Oversee and coordinate the staff providing the patient financial education, including insurance coverage, patient financial responsibility, providing a standardized cost estimate to the patient within the initial weeks of treatment. Review all payment / financial options directly with the patient.
Ensure that all information obtained is utilized to update company financial records to include data showing in both the PMS and the EMR to be shared with offsite billing and onsite Patient Financial Services for the purposes of insurance and patient collections.
Works collaboratively with Regional Operations, Clinical Lead and revenue cycle team to improve and optimize performance
Ensure insurance specialist and/or financial counselor updates the billing staff with updated balances due by the patients daily
Coordinate collection of registration and pre-authorization information.
Provide leadership and guide individuals and groups toward desired outcomes, setting high performance standards and delivering leading quality services.
Intervene in crisis situations - quickly and independently discerning financial interventions required - using sound analysis, professional judgment, ethical practice.
Regular attendance and punctuality.
Contributes to team effort by accomplishing related results as needed.
Ensures that all processing and reporting deadlines are consistently achieved.
Perform any other functions as required by senior leadership.
Marketing
Service existing accounts and establish new referral sources by planning and organizing weekly work schedule to call on existing and potential referral sources.
Maintain and acquire contacts and relationships with key stakeholders (Examples: Oncologists, Urologist, Gastroenterologist, Family Practice and Internal Medicine Physicians, etc).
Focus marketing efforts by studying existing and potential volume and be able to communicate updates to Nashville team
Monitor competition by gathering current marketplace info on services offered and technological advancements.
Work with our internal team of physicians, nurses, clinicians and staff to communicate and develop additional marketing efforts to promote growth
Participate in all efforts to increase revenue and improve customer service
Coordinate community and marketing events to promote the Center
Distribute information and educate potential referral sources about our services to the community, physicians, patients, nurses, clinicians and other medical staff
Facilitate strategic planning with management and implement initiatives.
Qualifications
4-8 years of experience, preferred
Bachelor's degree in related field, or equivalent work experience, preferred
Previous experience within healthcare operations management, preferred
Clinical background, preferred (RN, RRT, etc)
Knowledge of basic medical terminology
Working knowledge of ICD-10 requirements
Working knowledge of Medicare/Medicaid
